Located in Oakland County, off Interstate 96, the City of Novi is a vibrant suburban environment supported by high-tech and industrial businesses. With its schools, recreation centers, parks and retail districts, Novi has been referred to as the ideal location for businesses and residents alike. Step into its modern, well-designed municipal offices, and it is quickly apparent that this is a progressive community. City Clerk Maryanne Cornelius works hard to maintain this reputation by keeping her department, as well as several others, on the cutting edge of technology.
One technological innovation that Maryanne feels is a great help to the City is the Laserfiche Document Management system. When Maryanne came to Novi in May of 2000 from the City of Walled Lake, she was pleasantly surprised to inherit a newly installed Laserfiche system in the Novi Clerk’s office. Office personnel have come to rely on Laserfiche for archiving and retrieving a wide range of documents, including deeds, easements, minutes from all Boards and Commissions, legal files, Council packet materials and ordinance amendments. All of these documents are now fully searchable in Laserfiche and can be found easily by either a text search or by browsing the folder structure. The office staff has saved countless hours in document retrieval with the use of Laserfiche, and Maryanne envisions expanding the system to other departments so they can take advantage of its benefits.
Rob Petty, I.T. Manager for the City of Novi, is also a strong supporter of the system. Rob feels that Laserfiche is powerful enough to meet the needs of the City, while requiring minimal maintenance and IT support. “Laserfiche is an easy system to support,” he says. “We took the time to set it up properly when it was installed and all we really need to do now is back up the database.”
Both Maryanne and Rob agree that part of what makes Laserfiche so successful is the information and support shared with them by General Code. Maryanne stated, “General Code has always worked hard on our behalf to upgrade our system by making new technology available to us.” Rob stated that he appreciates General Code’s response time for phone calls. “We have a limited staff with limited time. We can’t spend time making a lot of phone calls to get the answers we need. General Code has been able to answer our questions quickly.”
For the future, Rob and Maryanne would like to see the system grow to other City offices. Discussions are already underway to provide access for the Building Department and the Fire Marshall. Laserfiche and General Code have proven to be a winning combination for the City, drastically reducing time spent searching for documents and the support from General Code ensured that the system continues to meet the City’s needs now and in the future.
