demonstration presented by
General Code in Warwick Township
PA, he immediately saw the potential
of Laserfiche and how it could help
his growing business. ELA Group, Inc. is an engineering,
landscaping and architectural firm
serving municipal and private sector
clients throughout Pennsylvania, with
their two offices located in Lititz and
State College. As an engineering firm
ELA maintains many of the same
records as a municipality does, but
their needs are unique because they
have to maintain records for several
different municipality clients and
private customers. According to
Grant, “Archived paper files, and
valuable paper files in general, were
out of control and occupying
considerable office space even after
taking the inactive job files off site.”

Because of this concern and their
growth, he was looking for a tool
that would help first to deal with
paper storage issues and, secondly,
for a tool that would make the
information more accessible. It was
important to Grant that it be easy
to use and meet the needs of his
staff. ELA’s current office environment
is comprised of individuals, with
varied degrees of a technical comfort
levels—including Grant.
It is evident that Grant found
the perfect “easy to use” tool in
General Code’s Laserfiche document
management software solution.
Within 4 weeks of an on-site
demonstration of the software, the
project was approved.
John Snyder, ELA’s IT Manager, was
quickly assigned as the Laserfiche
Project Manager, installation was
completed by General Code, and
the ELA staff was up and running
with their Laserfiche system.

The software was installed on ELA’s
existing PCs and the staff was trained
using live records. On the first day
of installation staff began scanning
documents that ranged from small
business card sized documents to
large engineering drawings, creating
a database of records that was
immediately available for use. According
to John, the process to archive inactive
job files was straight forward and easy
to follow. “We archived many files
that contained a variety of different
sizes and were able to utilize the
scanning equipment we have in-house.
Summer interns processed the bulk
of the work, and look forward to
continuing the process with part-time
employees for the remainder of this
year and next year,” John said
John added that he is pleased with everyone’s acceptance
of Laserfiche and the way it can empower all users to
quickly find the information that they need with just a
few key strokes. “Mr. Hummer, along with other project
managers, recently needed some information from a
customers document. Rather than asking a staff member
to get it for them, they simply went to their PCs, typed
in a word on the document they were looking for, and
instantly had the record that they needed. They printed
it and brought it to a management meeting!"
The ELA Team is dedicated to optimum client service
and satisfaction and plans to use Laserfiche as a tool to
achieve that optimal level. They are planning to continue
electronically archiving job files with the goal to have
all files accessible in the future through their Laserfiche
document imaging system provided by General Code.
