Village of Medina Turns to LaserFiche® to Keep Vital Records on Hand in New Office
Medina, NY, August 3, 2001 - Medina officials turned to document imaging technology when a recent move forced thousands of birth and death records dating back to 1872 to remain behind.
There just wasn't enough space in the new office for 36,000 birth and death certificates. Concerned that offsite storage of these records would cause delays for citizens who request copies, Village Clerk Peggy Crowley looked to technology for a solution. LaserFiche, an award-winning document-imaging software, now allows officials to access records with the click of a mouse. Crowley worked with General Code Publishers, a LaserFiche VAR (value added reseller), to design the system.
When complete, LaserFiche will enable the city to respond much more quickly to all requests from citizens for certified copies of birth and death records. In fact, the clerk's office received an urgent request while General Code Publishers was scanning the records into the system. Thinking quickly, the clerk called General Code and within seconds, the staff performed a search of the records already in the system, found the needed certificate, printed a fresh copy and faxed it to Medina. The entire transaction took place in less than 5 minutes.
The new system already contains birth and death records from 1975 through present. Over the next few months officials will continue working with General Code Publishers to incorporate birth and death records dating back to 1872.
