Document Imaging Creates Efficiencies for the Village of Germantown, WI

Germantown, WI, June 20, 2000 - Recent installations of LaserFiche® document imaging software have given the Village Clerk's office and the Police Department the ability to store, access and retrieve information more quickly and efficiently than ever before.

Often the sole source of information on Board, planning and other critical meetings, the Clerk's office was spending a great deal of time filling requests for information from citizens and village employees. Police personnel needed a system that would allow them to find all of the pieces of an incident or accident report in one place. Staff also hoped to replace the costly and time consuming process of microfilming records.

After extensive research, the village purchased LaserFiche document imaging software for both departments. General Code Publishers, designed and installed both systems, customizing the project to meet the needs described by the village.

Village Clerk, Jane Wilms, CMC, AAE, estimates that her office already has four years of meeting minutes from the Village Board, Plan Commission and standing committees in the system. Jane says that in addition to saving time by searching electronically, the number of searches performed by the Clerk's office has fallen drastically because LaserFiche allows other departments access to the information they need. Now, in the time it would have taken to call Jane and request a search, village employees can find the information they need on their PC's!

The Police Department has over 19,800 documents in the system and continues working toward their goal of imaging records dating back to the 1970s. In addition to storing reports and their attachments in one place, they've found that it takes less time to scan a record than to microfilm it, and they are saving financially as a result. Communications Supervisor, Sue Mourey, of the Germantown Police Department, explains that installing LaserFiche has allowed them to discontinue renting a microfilm camera and has eliminated related expenditures such as buying and developing the film. Savings are expected to grow in the future as overtime costs associated with microfilming records decrease and repair bills for the microfilm reader and printer decline.
