How
do I purchase the program?
GC
TermTracker Software can be purchased through this web site in one
of two ways:
What's new in Version 3.7?
Listening to suggestions and requests from our clients, we have upgraded the software to include new features and improved accessibility. Version 3.7 continues to offer multiple users simultaneous access to term information and provide E-mail Alerts notifying you of expiring member terms, and now offers an oath of office field, filtering of member lists for active, non-active or all members, a notes field in the term definition screen and much more!
I have already purchased the program. How do I upgrade to Version 3.7?
A patch for Version 3.7 is available for download on our Web site. Licensed GC TermTracker™ Software users with a current maintenance agreement can upgrade at no extra cost. A new, updated license file will also be issued for activation of the upgraded software.
Will my existing data be affected by the upgrade?
Installation of the patch will not delete any of your existing data. Only application files will be updated.
How do I upgrade from a single user license to a network license?
You can upgrade from a single user license to a network license by following these steps:
-
Your Network Administrator will need to create a folder on the network to which each TermTracker user will have "power user rights."
-
On the computer currently running the single user license of TermTracker (the “client machine”), download and install the upgrade patch from the General Code Web site.
-
The database that currently exists on the client machine has all of your current data in it and is called TTDB.MDB. In order to retain the data stored in that file, you must MOVE (not copy) the database from the client machine to the TermTracker folder on the network which your Network Administrator created in Step 1.
-
Upon your request, General Code will email a new license file to you. Copy the new license file to the same network folder that contains the TermTracker database.
-
Delete the existing single user license file (TTLICENSE.INI) from the client machine. (All other copies of the single user license file should be deleted. It will no longer be valid.)
-
Check to be sure your existing database and new network license file are in the same TermTracker folder on your network server. There should be no database or license file on the client machine.
-
Open and run your GC TermTracker™ software on the client machine. You will be prompted for the location of the database and license file. Select the new TermTracker folder on the network. Click OK once you have selected the folder ; GC TermTracker will load. (You will only be prompted for the location of these files once.)
-
When GC TermTracker loads, the words “Read Only” should appear in the bottom right hand corner of the screen. Viewing the the Help - About screen in the program, it should indicate that you are now running a network license (either a 5-user or site license).
For all of the other computers that need the GC TermTracker™ software program installed, the easiest option is to download the full installation from the General Code Web site and burn it to a CD. When you run the install, it will ask you for the location on the network where the GC TermTracker™ database and license file are stored. Point to the new folder on the network which the Network Administrator created in Step 1 above.

I have no Term Length types listed on the Group Information screen and my default group term lengths calculate incorrectly when I add a new term. What do I do?
If on the main Group Information screen you have no items listed in the "Term Length" drop down, perform the following steps:
-
Open the TermTracker database in MS Access 2000 or later.
-
Open the table entitled "tblTermLengthTypes" and delete any records you see listed
-
Add the following records to the table:
TLTypeID Descr
-------- --------
1 Days
2 Weeks
3 Months
4 Years
5 Quarters
(Note: these 5 records need to be the only records in the table and exist exactly as shown above)
-
Close the table and close the database.
-
Run TermTracker to verify that the Term Length types are now listed.
-
Click the "Manage Groups" button.
-
Select the "Group Information" tab.
-
Click on the dropdown list entitled "Term Length".
The default term length types should now be listed. If you have any difficulties or would like General Code to make these changes please contact the General Code Help Desk.
